Our successful GenAI references sites, OEM partnership with Mitel, and the launch of our innovative Voice AI product line position us for robust growth and market leadership.
We are now seeking a proactive Finance Coordinator to streamline our financial and operational processes, ensuring the company operates smoothly as we grow. This would initially be a part-time role (2 days per week) with a plan to become full-time as the company grows.
Mission
Take ownership of financial and administrative processes, supporting the CEO and the wider team to improve efficiency. Manage core operational functions such as payroll, expenses, invoicing, and compliance while contributing to the company’s operational excellence. Your role will directly enable the team to focus on growth and innovation.
Outcomes
1. Streamline Financial Processes
- Ensure all invoices are processed and tracked accurately, meeting submission deadlines.
- Manage payroll and expense reimbursements, ensuring on-time payments and precise record-keeping.
- Oversee VAT filings and compliance, liaising with external accountants as needed.
- Maintain an accurate and up-to-date record of employee equity/options administration.
- Proactively chase overdue client payments with a professional, solutions-focused approach.
- Assist with expense filings.
2. Support Strategic Growth
- Collaborate with the CEO to prepare financial and operational reports, providing insights to inform decision-making.
- Develop robust record-keeping systems that scale with the business.
- Provide administrative and financial support for partner and client relationships.

Financial Expertise
- Strong understanding of payroll, VAT, invoicing, and financial compliance in the UK.
- Proficiency with financial tools (e.g., Xero, QuickBooks) and Excel for tracking, reconciliation, and reporting.

- Comfortable handling sensitive information with discretion and security.

Qualifications
Experience
- Minimum of 2 years in finance, accounting, or operations roles.
- Experience in a SaaS, startup, or small business environment preferred.
- Proven track record of managing payroll, VAT compliance, and financial systems effectively.
Technical Expertise
- Hands-on experience with financial software (e.g., Xero, QuickBooks).
- Proficiency in Google Workspace and Excel.
- Familiarity with equity/options management is a bonus.
